How to use ChatGPT for Cold Emailing
Can you believe we turned the corner of the 21st century two decades ago and how far we've come since?
The "age of AI" claim has genuinely lived up to its name, as this could be the last invention we ever need to make, and it's all accessible at your fingertips today.
Whether you're creating meal plans, writing essays or presentations, researching ideas, or figuring out how to train your dog in the best possible way, AI is opening up a whole new world of possibilities, and today, we're focusing on one area in particular.
Everyone writes cold emails at some point in their lives. You could be networking, applying for a job, presenting a new idea, securing a new customer for your business, asking people to attend your event, and so much more.
If you have a message to send, a cold email could be the way to do it.
Fortunately, gone are the days of having to write our emails by hand, trying to figure out the best way to share your message - a way that will actually get your reader's attention and make them want to know more.
Quite simply, you can use generative AI to do the hard work for you.
That's what we're covering today as we deep dive into the world of ChatGPT and how it can help you write the best cold emails that get results every single time.
Everything you need to know is right here, so let's dive on in.
An Introduction to ChatGPT
Let me give you a crash course on what ChatGPT is all about so we're on the same page.
ChatGPT is a powerful AI language model developed by the brilliant minds over at OpenAI. It became the fastest-ever app to grow to 100 million users in just two months (this took FaceBook four and half years) and has been a household name in the AI race ever since.
We won't deep dive into how ChatGPT works on a technical level because that's a topic all in itself (there's a great video on that here), but here's how it works.
You type some text into the bar on the website, known as a prompt, and the AI model will respond in how it thinks is the best possible way. The answer is derived from a massive data set the AI model has been trained on.
So we may ask something like "What is the most popular type of dog in the US?" and the AI will look through all the possible data it has access to (it can now take data from the live internet as well) to generate text, giving you the best answer possible.
Using this, you now have access to a tool that can help you achieve all kinds of amazing things, from writing articles or blog post content and scheduling your day to generating images and drafting cold emails.
It's pretty amazing, and it's easy to see why the platform is so popular.
The Benefits of Using ChatGPT for Cold Email Campaigns
Cold emailing is like sending a digital message-in-a-bottle out into the vast ocean of the internet.
You're reaching out to potential customers or partners LITERALLY out of the blue, with zero prior contact.
Sounds daunting? You bet it is!
Here's the kicker with cold emails:
- You could write sales emails that just end up in the icy depths of the spam folder.
- Getting the tone just right without sounding like a robot? It's a challenge, to say the least.
- It feels like you need to be a wordsmith and a psychic, all in one, guessing the recipient's interests and needs, tailoring the email in a way that speaks to them precisely.
Using ChatGPT for writing your cold campaign content, however, essentially allows you to tick all these boxes in just a few seconds, helping you generate content that works in a fraction of the time.
Let's break down the benefits a little further:
- Personalization at Scale: Imagine tailoring your emails to resonate personally with EACH receiver! That's ChatGPT, the personalization hero! However many people you want - all automatically.
- Efficiency Booster: This AI is your sidekick, ready to whip up drafts while you grab a coffee. Emailing faster than a speeding bullet! Well, about 30% on average, according to statistics.
- Spam Folder? Nope!: Crafted with human-like warmth, these emails are ready to cozy up safely in the inbox. Since they're unique and well-written, there's very little chance of them ending up where they don't below.
- Testing, Testing 1-2-3: A/B testing email variations is a breeze. More data, more power, more wins! ChatGPT really helps you deliver the results time and time again.
By tapping into ChatGPT, you're not just sending cold emails; you're sprinkling them with AI magic that can potentially warm up any lead's interest!
Ready to get started in drafting your own emails? It's time to step into it.
Step-by-Step Tutorial: Using ChatGPT for Cold Emailing
Now we've caught up on all the flashy features of using ChatGPT for cold emailing, it's time to get down to business.
And by that, I mean making ChatGPT work its magic and creating some cold emails for you! Here's a step-by-step guide on how you can use ChatGPT to supercharge your cold email game:
Step 0: Setting Up ChatGPT
If you've already got yourself a ChatGPT account and you've been using it, go ahead and skip this step.
If not, head over to the ChatGPT website, sign up for an account using your email address, and open a new chat window.
If you're using a free account, you'll be using the GPT 3.5 model, which isn't bad, but I highly recommend paying $20 a month for the premium level. This gives you access to GPT-4, which offers far superior results.
We'll be using GPT-4 in this tutorial to write cold emails.
Step 1: Write a Detailed Prompt
Every ChatGPT task starts with the prompt.
While you can get creative with your prompt (and this is really the art of using GPT), here's the mindset you need.
Start by imagining you're in an office, and you have your assistant, GPT, working next to you. Across the desk, you look over and say, "Hey, I need you to write a cold email to Alex from Company XYZ promoting our new product."
There you go; that's your ChatGPT prompt.
"Write me a cold email to Alex from Company XYZ promoting our new product."
Of course, this would work (see above), but you need to input far more detail to get better results. The one above? Well, it's problematic for reasons including:
- It's too long.
- It's too generic
- It lacks personality.
- It's guessed what our topic is.
Instead, try something like:
"Write me a professional cold email in a conversational tone to Alex from Company XYZ promoting our new office cleaning services. They are concerned with pricing, so ensure the sales email that eases their worries. Keep it under 100 words."
As you can see, the results are much better.
Again, imagine you're briefing an actual human about your ideal customer, their industry, pain points, and the solutions you cater to those point points.
That's ChatGPT as an AI writing assistant in its entirety!
Step 2: Optimize Personalization
Even AI needs a little coaching, especially when cold email writing.
If the first draft isn't quite up to scratch, simply ask ChatGPT to add personalization and make necessary adjustments. You might ask, "Can you add personalization placeholders?" or add precise requests in the same thread to guide your AI buddy.
However, you can take this step further, and this is what a lot of ChatGPT won't tell you.
Once you've created your perfect email template, you can get GPT to make multiple templates and mass-produce the email differently.
Let's say you have your email basics, such as the email above.
Now, make a list of all the people you're emailing, giving their name, their pain point, and the company they work for (and yes, I generated these in ChatGPT too, which is something you can do if you feed it data).
Now, give ChatGPT this list and ask it to create a unique, 100-word email that customizes the email based on your list.
The prompt would look like this:
"Can you write this email out, keeping each one 75 words long, and customize the content to fit the needs and expectations of the recipients in this list:"
Don't worry that the table content isn't formatted. ChatGPT is very clever when it comes to understanding what you want and how data is presented, especially when it comes in an organized pattern, such as this.
The delivered results of such a prompt look like this:
And the list went on.
Now, there is a word cap to ChatGPT, so don't expect to write 100s of emails in one prompt. In the prompt above, all ten emails were written, but the body content of each email became progressively shorter as the generation went on.
Depending on your email length, break it down into 3-4 emails at a time, copy and paste them out, and away you go.
Step 3: Perfect The Call-To-Action
Got your personalization sorted? Great! Let's focus on the Call-to-Action (CTA) next.
If you find the CTA lacking, you could prompt with, "Can you add a more compelling call to action, one that would prompt a click?"
Maybe give ChatGPT the prompt to give you several options, allowing you to choose and tweak until you get your favorite.
Step 4: Set the Right Tone
As I mentioned before, tone and voice are everything in an email.
You need to make sure you're writing emails in a way that connects with the reader. Some people will love casual and conversational, and sometimes, it's more appropriate to be formal and professional.
And in addition to that, maintaining a 'human' touch in the automation process is key.
To achieve a friendly and conversational tone, request ChatGPT with something like this: "Can you make the tone sound more friendly and conversational?" or whatever kind of style you want.
If you're working on bulk emails, you can simply add the tone of voice you want the emails written into the rest of the information, as laid out in our table below:
Step 5: Keep Improving
Perfection is a pursuit, and while impossible, we're aiming to get things right as best we can. First impressions count when it comes to emails.
To optimize the email content for higher conversion, you can ask, "Can you optimize the email content for higher conversion?"
Or, in this case, "Can you optimize the email content for higher conversion? Give pointers to how you've improved the content and why."
Make sure you actively reject inappropriate requests by saying what you don't want to include but try to keep the prompt positive. For example, "Don't use passive voice" should be "Only use active voice".
You can also ask GPT to give you tips on improvements, perhaps by scraping the best tips to write a cold email around from the internet.
Step 6: Generate Catchy Subject Lines
A good subject line is crucial in personalized cold emails. Get it wrong, and no one's clicking on your content, even if it's the best content they've ever read.
For multiple options that you can A/B test, you could ask for, "Can you write 5 subject lines for this email?"
Step 7: Crafting Follow-Up Emails
Follow-ups are crucial in any cold email campaign. ChatGPT prompts for follow-up emails can look like this:
"Could you please share 3 follow-up emails for multiple recipients of this same email for prospects that have opened the email but not responded?"
And don't forget, when you using a proper mailing service, like MailChimp or Covertkit, you can simply copy and paste this content in for automated follow ups, meaning very little work on your behalf while generating very positive results.
Step 8: Quality Control
To err is human; to correct is AI. You can ask GPT-3 or 4 to proofread, "Can you proofread this email for me?" or to gauge the tone, "Can you please describe the tone of this email and suggest edits?"
This is especially important if you've taken the content ChatGPT gave you, edited it yourself by hand, and now need to ensure professionalism.
Step 9: Perfect for Your Ideal Customer
Lastly, make sure the content resonates with your ideal customer profile.
An example prompt can be: "Can you create a cold email for a startup owner that requires Lead Generation software? His main pain points are that he has too many options in the market. Keep the email short."
That's how you can harness the power of ChatGPT to revolutionize your cold email game. Buckle up and get ready to soar high above those open and response rates! 🚀
